General Subscription Questions

What is a Work-A-Beez subscription?

A Work-A-Beez subscription provides access to the cloud-based workforce management platform for your organization. Subscriptions may include workforce scheduling, time and attendance, leave management, employee self-service, reporting and analytics, mobile access, API access (where applicable), and customer support. Available features depend on the subscription plan purchased.

Who owns the subscription?

The subscription belongs to the organization that purchased the service. Individual users receive access based on permissions granted by the organization's administrators.

Subscription Plans

What subscription plans are available?

Work-A-Beez may offer multiple subscription tiers designed for organizations of different sizes and operational needs, such as Starter, Professional, Business, and Enterprise. Available plans and included features may change over time.

How do plans differ?

Subscription plans may vary by number of users, included features, API availability, reporting capabilities, integration options, storage allocation, support options, and administrative controls. Refer to the Pricing Guide for current plan details.

User Licensing

How are licenses assigned?

Licenses are assigned by authorized administrators, who may add users, remove users, activate accounts, deactivate accounts, or reassign licenses (subject to subscription terms).

What counts as a licensed user?

A licensed user is typically an individual with an active account authorized to access the Work-A-Beez platform. Organizations should not share user accounts between multiple individuals.

Can multiple employees share one login?

No. Each individual must use their own unique account. Shared accounts reduce security, limit auditability, violate security best practices, and may violate subscription terms.

Adding and Removing Users

Can I add users at any time?

Yes. Authorized administrators may add users throughout the subscription period. Additional licensing charges may apply.

Can I remove users?

Yes. Users may be deactivated, deleted (where permitted), archived, or reassigned. Historical records are retained according to organizational data retention policies.

What happens to historical records when a user is removed?

Removing or deactivating a user does not automatically delete timecards, leave history, audit logs, reports, or scheduling history. Historical business records remain available according to organizational retention settings.

Upgrading and Downgrading

Can I upgrade my subscription?

Yes. Organizations may upgrade to a higher subscription tier at any time. Benefits may include additional users, more features, increased storage, advanced reporting, premium support, and additional integrations. Pricing adjustments may be prorated.

Can I downgrade my subscription?

Yes. Downgrades generally take effect at the next renewal date unless otherwise specified. Downgrading may affect available features, user limits, storage limits, reporting functionality, and API access. Administrators should review feature availability before changing plans.

Subscription Renewals

Do subscriptions renew automatically?

Most subscriptions renew automatically according to the subscription agreement unless cancelled before the renewal date.

Will I receive a renewal reminder?

Where applicable, billing administrators receive advance notice before subscription renewal. Notification timing may vary by subscription type.

Can I change plans before renewal?

Yes. Organizations may discuss plan changes with Sales or Customer Success before the renewal date.

Trials and Evaluations

Is a free trial available?

Work-A-Beez may offer trial or evaluation environments for qualified organizations. Availability depends on current promotional programs and business policies.

What happens when my trial ends?

At the end of the trial period, organizations may purchase a subscription, request an extension (if available), or allow the evaluation environment to expire. Trial data retention policies may vary.

Enterprise Agreements

Are enterprise contracts available?

Yes. Enterprise customers may receive customized agreements that include custom pricing, volume licensing, dedicated support, professional services, Service Level Agreements (SLAs), and custom implementation services.

Can enterprise agreements include custom features?

Organizations may request custom integrations, implementation assistance, or professional services. Availability depends on technical feasibility and contractual agreement.

Subscription Ownership

Who can manage the subscription?

Authorized billing administrators and organization administrators may manage subscriptions, update billing information, add or remove licenses, view invoices, manage renewals, and contact Customer Success.

Can ownership be transferred?

Subscription administration responsibilities may be reassigned to another authorized administrator within the organization. Ownership changes may require identity verification.

Frequently Asked Questions

Can I change my subscription at any time?

Yes. Most subscription changes can be requested during the subscription term. Billing adjustments may apply.

Can I purchase additional licenses later?

Yes. Organizations may increase license counts as their workforce grows.

Will I lose data if I downgrade?

Historical data is generally retained according to your organization's data retention policies. However, access to certain premium features may be removed after a downgrade.

What happens if my subscription expires?

If a subscription is not renewed, user access may be suspended, administrative access may be restricted, and data retention will follow the organization's agreement and applicable policies. Customers should contact Customer Success regarding subscription expiration and reactivation options.

Can I transfer licenses between employees?

Yes. Organizations may deactivate one user's account and assign an available license to another employee, subject to the terms of the subscription agreement.

Does every employee require a license?

Licensing requirements depend on the subscription plan and the type of user account being created. Consult your subscription agreement or Customer Success representative for plan-specific licensing information.
